5 linked workflows
One Google Sheet CRM

Five workflows. One sheet. The end-to-end outbound loop.

Scrape, send, follow up, track, suppress — each job is a separate n8n workflow. They share one Google Sheet as the source of truth. After setup, the operator fills a form and reads replies. The machines stay stateless.

Why this page exists

The other cards are machines. This is the loop.

Most “cold email tools” stop at find-and-blast. This system is five linked jobs. Open a single card if you only need that slice. Open this page if you want how they share state without talking to each other.

The live sender URL currently repeats a lot of this system copy. Here the system stays the system: architecture, hand-offs, and why the sheet is the CRM. Node-by-node sending lives on the Cold Email Sender page.

Who it is for

Operators who want the loop, not a single Zap

Agencies doing local outbound

Keyword + city in. Verified, written, paced, followed up, and suppressed — without a VA updating four tools.

Teams that already own Gmail and Sheets

Nothing is rented. The published build uses two senders (Nick and David) so volume can split without mixing threads.

How state moves

Workflows never call each other. The sheet does.

1

Scraper writes

Pending rows: email, subject, body, PS, verification. Suppression and existing-lead checks happen before the write.

2

Sender updates

sent_at, Status, Gmail message ID, sent_from. That ID is what the tracker can match later.

3

Follow-up reads timestamps

Day-3 and day-7 math lives in filter nodes. It never “asks” the sender if a reply arrived — it reads replied and bounced.

4

Tracker writes status + suppress

Hourly. A reply stops the sequence. A bounce or opt-out also lands on the suppression sheet the scraper will read tomorrow.

Deliverability rules baked in

Every technical choice is there to protect the domain

Verify before spend

MillionVerifier runs in the scrape. Only safe / ok / role_account reach Claude or Gmail. The sender re-checks verification anyway.

Cap + jitter

20 first-touches/day, 3–8 minute gaps. Follow-ups capped at 8 per type with 2–5 minute gaps. Week-1 note: 10/day on a new domain.

Reply-only CTAs

Sonnet is instructed never to ask for a click, booking link, or form. Replies are the engagement signal.

Six gates before send

Body, subject, not sent, valid email, verified, not do_not_send. All six. Then Gmail. Then a writeback either way.

FAQ

Cold Email System — short answers

How is this different from the sender page?
The sender is one 9-node job: 5pm, cap, delays, Gmail writeback. This page is how scrape, send, follow-up, track, and suppress share one sheet. If you only need paced sending against an existing list, start with the sender. If you need the loop, start here.
Is the fifth workflow a separate n8n canvas?
The published listing names five jobs: scrape, send, follow up, track, suppress. Suppression is the dedicated blocklist sheet plus the write nodes on the tracker and the read nodes on the scraper. The four timed/triggered canvases are published as their own portfolio pages; the fifth job is the shared suppress path that makes them a system.
Do the workflows call each other?
No. Each run is stateless. The scraper writes. The sender updates. Follow-up reads timestamps. The tracker writes reply/bounce and suppression. If you stop one workflow, the others still have a sheet to read.
Which Maps scraper does the system use?
Either. v1 (Places, 20/keyword) or v2 (Apify, 40/keyword) both append pending rows the sender understands. The live system write-up shows the Apify-style 40-per-keyword intake; v1 is the Places sibling.
Can we buy this as a subscription product?
No. Client-ready n8n on your Gmail, Sheets, Claude, verifier, and Maps credentials. You own the workflows. Hyxil will walk the live canvas and rebuild the same class of loop on your accounts.

Want the full outbound loop on your sheet?

We will walk how five jobs stay stateless — scrape to suppress — and what it takes to run the same class of system on your inboxes.
